This guide provides a comprehensive walkthrough for using EmailOctopus, an email marketing platform designed for ease of use and affordability. We will cover setting up your account, managing subscribers, creating campaigns, building automations, and analyzing your results.
1. Getting Started: Account and List Setup
The first step is to create your account and prepare your first audience list.
Account Creation: Sign up for an EmailOctopus account. During setup, you will be asked to provide basic information and verify your email address. It is crucial to also verify the domain you'll be sending emails from (e.g., yourwebsite.com). This authenticates you as a legitimate sender and significantly improves email deliverability.
Creating a List: Your audience is organized into lists. A list is a container for subscribers who have opted in to receive your communications.
Navigate to the Lists tab and click Create a list.
Give your list a descriptive name (e.g., "Monthly Newsletter Subscribers").
Go to the Settings tab within your new list to configure default "From" names and email addresses.
Adding Subscribers: You can populate your list in several ways:
Manual Import: If you have an existing list of consenting subscribers, you can import them from a CSV file. EmailOctopus will guide you through mapping columns from your file (like Email, FirstName, LastName) to fields in your list.
Single Subscriber: Add individuals one by one, which is useful for small additions.
Forms and Landing Pages: The best way to grow your list automatically is by capturing sign-ups directly from your website or a dedicated page. This will be covered in Section 3.
2. Creating and Sending an Email Campaign
A campaign is a single email broadcast sent to a list of your subscribers.
Start a New Campaign: Navigate to the Campaigns tab and click Create campaign.
Setup:
Subject Line: Write a compelling subject line that encourages opens.
Preheader: This is the short snippet of text that appears after the subject line in most email clients. Use it to add context to your subject.
From Name & Email: Confirm the sender details.
Design with the Editor:
Choose a pre-designed template or start from a blank canvas.
The drag-and-drop editor allows you to build your email using content blocks. Common blocks include:
Text: For your main body copy.
Image: To upload visuals.
Button: For clear calls-to-action (e.g., "Read More," "Shop Now").
Spacer/Divider: To visually separate sections.
Social: To link to your social media profiles.
Personalization: Use merge tags to insert subscriber-specific information. For example, using Hello {{FirstName}}, will automatically insert each subscriber's first name, making the email feel more personal. You can find available tags in the editor.
Testing and Sending:
Send a Test Email: Before sending to your entire list, always send a test to yourself or your team. Check for typos, broken links, and how the email renders on both desktop and mobile devices.
Select Recipients: Choose the list(s) you want to send the campaign to.
Schedule or Send: You can send the campaign immediately or schedule it for a future date and time.
3. Capturing Leads: Forms and Landing Pages
To continuously grow your audience, you need a way for new people to sign up.
Embedded Forms: These are forms you can place directly on your website (e.g., in your blog's sidebar or footer).
Navigate to Lists → select your list → Forms.
Design your form, choosing which fields to include (e.g., email address, first name).
Customize the "Success" message that appears after a user subscribes.
Copy the provided HTML code and paste it into your website's code where you want the form to appear.
Landing Pages: A landing page is a simple, standalone webpage hosted by EmailOctopus with the sole purpose of getting visitors to sign up for your list.
Navigate to Landing Pages & Forms and click Create.
Use the editor—which is very similar to the campaign editor—to design your page. Add a compelling headline, descriptive text, and an image.
The sign-up form is the central element of the page.
Once published, EmailOctopus provides a unique URL for your landing page that you can share in social media bios, email signatures, or ad campaigns.
4. Automating Your Email Marketing
Automation allows you to send a series of emails automatically based on a specific trigger, saving you time and ensuring consistent communication.
Creating a Welcome Series: The most common automation is a welcome series for new subscribers.
Navigate to the Automations tab and click Create automation.
Set the Trigger: Choose "Subscriber joins a list" and select the relevant list.
Build the Sequence:
Add an Action: Select "Send an email." Design the first email of your series (e.g., a welcome message that delivers a promised lead magnet).
Add a Delay: Select "Wait" and set a time period (e.g., 2 days).
Add Another Email: Add a second email to the sequence (e.g., one that introduces your brand story or highlights popular content).
Continue adding delays and emails to build out your desired sequence. Once you activate the automation, every new subscriber to that list will begin receiving the series.
5. Analyzing Performance: Reports
After sending a campaign, you must analyze its performance to understand what works.
Accessing Reports: Go to the Campaigns tab and click the Report button next to any sent campaign.
Key Metrics to Track:
Open Rate: The percentage of recipients who opened your email. This is a primary indicator of subject line effectiveness.
Click-Through Rate (CTR): The percentage of recipients who clicked on at least one link in your email. This measures how engaging your content and calls-to-action are.
Bounce Rate: The percentage of emails that failed to be delivered. A high bounce rate can indicate an old or low-quality list and may harm your sender reputation.
Unsubscribe Rate: The percentage of recipients who opted out of your list. While some unsubscribes are normal, a high rate may suggest a mismatch between your content and audience expectations.
